There are two ways to work out what a used part fits. Inward, from the part: read the number off the casting, look it up, find the vehicles it is listed against, enter those. Or outward, from the donor vehicle: you know exactly what the car was, because you bought it and you tore it down.
Both produce a compatibility table. Only one starts from something you actually know, and the difference shows up somewhere you will not expect - a dispute, eleven weeks later.
Why inward is a guess wearing a suit
Working from the part means reading a number and trusting a lookup. The number might be a casting number, a manufacturer part number, a supersession, or a sequence that means something only inside one factory. Which one you are holding is not always obvious, and they resolve differently.
Then you are trusting the source you looked it up in - and if that is another listing, or a spreadsheet of uncertain age, you have inherited a provenance you cannot inspect. Every link is plausible. None is verifiable.
Why outward starts from a fact
The donor vehicle is not an inference. You have its VIN. You know its year, make, model and engine because you bought the car and it is sitting in your yard.
That is the strongest fitment claim available to you: this part came off this specific vehicle. Not "this part is listed as fitting this vehicle" - it physically came off one.
Which is a materially different statement when a buyer says the part did not fit. "It is listed as compatible in a catalogue" invites an argument about the catalogue. "It came off a 2015 EX with the 1.8" is a fact about your own inventory, and if you photographed the donor and recorded the VIN it is a documented one.
What does a VIN actually give you?
NHTSA's public vPIC database will decode a 17-character VIN to year, make, model, body class, engine configuration, displacement, plant and a long list of other variables. It is the same source most paid decoders resell, which is why free decoders exist at all.
Two things it will not reliably do, and both matter. Trim is often blank - the single field that most affects fitment is the one vPIC most frequently has no value for, because manufacturers are not required to encode it in a standardised way.
So a VIN gets you most of the way and not all of it. The remaining distance is looking at the car, which you can do, because it is on your lot.
What you give up
Outward is narrower. A licensed interchange catalogue knows your alternator also fits four vehicles that have never been through your gate. Donor-derived fitment does not, and structurally cannot, because you only know what you have had.
So the trade is defensible-narrow against broad-but-inherited. If your current problem is returns from buyers whose cars it never fitted, narrow fixes it. If your problem is that nobody finds your parts, narrow makes it worse and interchange is genuinely what you want. Opposite problems, opposite fixes - and which one you have is worth establishing before you pick a method, or a vendor.
How to do it today
- Record the VIN at intake, before teardown. Thirty seconds, and unrecoverable afterwards. Every part off that vehicle inherits it.
- Decode once, per vehicle, not per part. One decode serves every part you pull from that car.
- Fill trim and engine from the car, not the decode. Look at the badge, look at the block - the decode will often not know, and those are the two fields that decide whether eBay can place your listing.
- Keep the donor photographs. Not for the listing - for the dispute.
The part number is something you read and interpret. The donor vehicle is something you own.
